When you use the contact form, we collect the information you submit, which may include your name, email address, subject, inquiry type, message, and any links or other details you include.
When you apply to be a podcast guest or use a private guest portal, we may collect your name, email address, optional phone number, location, artist or organization name, role in music, website and social links, biography, proposed topics, previous interviews, scheduling choices, messages, booking details, and other information you choose to provide.
If a guest is accepted, we may also collect information needed to plan, record, edit, publish, and promote the episode.
Information collected automatically
Our hosting and security providers may process standard technical information such as your IP address, browser type, device type, requested pages, timestamps, and security or diagnostic logs.
Windrow Studio uses Cloudflare Web Analytics to understand website traffic and performance. Cloudflare states that this service does not use cookies to track visitors across websites and does not collect or use visitors' personal data for Web Analytics.

Service providers may include Cloudflare for website security, analytics, the guest portal, and data storage; GitHub Pages for website hosting; Formspree for contact form delivery; email and communication providers; Riverside for remote recording; and other production or publishing services used for an accepted guest's episode.
We may also disclose information if required by law, to respond to a valid legal process, or to protect the safety, rights, and security of Windrow Studio or others.
YouTube, Spotify, and external links
Some pages include media players or links provided by YouTube, Spotify, and other third parties. When an embedded player loads or you interact with it, that provider may receive technical and usage information and may use cookies or similar technologies under its own privacy policy. Following an external link also takes you to a service that Windrow Studio does not control.
Cookies and similar technologies
Windrow Studio does not use Google Analytics. Cloudflare Web Analytics is used for privacy-focused traffic and performance measurement. Private portal areas may use cookies or local storage that are necessary for authentication, security, or remembering a requested setting.
Third-party media providers may use their own cookies or similar technologies when their content loads. You can control cookies through your browser settings, although blocking essential storage may prevent private portal features from working.
How long we keep information
We keep contact inquiries, guest applications, scheduling records, and related messages only for as long as reasonably necessary to review requests, coordinate appearances, maintain business and production records, prevent duplicate outreach, resolve disputes, and comply with legal obligations. The appropriate period depends on the status and nature of the relationship.
Published podcast recordings, episode pages, promotional clips, artwork, and related production records may remain available for the life of the podcast or as otherwise agreed with the guest. You may request deletion of personal information that is no longer needed, subject to legal, contractual, editorial, and record-keeping requirements.
Data security
We use reasonable administrative and technical measures intended to protect information. No website, database, email system, or internet transmission can be guaranteed completely secure.
International data transfers
Windrow Studio and many of its service providers are located in the United States. If you submit information from another country, your information may be transferred to and processed in the United States or other locations where our providers operate. Where required, service providers use transfer protections described in their privacy terms or data processing agreements.
Your privacy rights
Depending on where you live, you may have the right to request access to, correction of, deletion of, or a copy of your personal information. The website is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13. A parent or legal guardian should contact Windrow Studio before a person under 18 is scheduled or recorded as a podcast guest.
